Board Consultation & Community Assessment

Document the properties, units, openings, existing conditions, architectural rules, access constraints, product requirements, and decision process. The board should have its own engineer, attorney, insurer, and other advisers review matters within their roles.

Cost, Financing & Assessment Inputs

Use the contractor's written price, alternates, allowances, schedule, and payment milestones as inputs. The association's attorney, accountant, reserve specialist, lender, and board determine assessments, financing, reserves, approvals, and owner obligations.

Resident Communication & Scheduling

Define notice periods, resident contacts, access rules, unit scheduling, progress reports, accessibility needs, cancellations, and escalation paths in the project plan.

Phased Installation & Quality Control

The written plan should define phases, access, temporary conditions, inspection and acceptance criteria, reporting frequency, dependencies, and change procedures. Actual disruption and timing depend on the building and project conditions.

Insurance Documentation & Long-term Support

List the approvals, permits, inspections, opening schedule, completion records, and warranty documents included at closeout. Any future inspection, maintenance, response priority, or warranty-administration service must be separately defined in writing.
